FavorDrop Ledger Page Overview

The Ledger page serves as your central transaction log within your FavorDrop account, tracking all promotional transactions in real-time. It allows you to export a complete financial ledger for use in promotional accounting.

Key Features and Controls

Ledger Search Bar

Located at the top left of the table, the search bar lets you instantly locate transactions. You can search by:

  • Recipient Names (e.g., "Shawn", "Tom Smith")

  • Contact Information (email addresses or phone numbers)

  • Promotion Names (e.g., promotion titles)

Ledger Filters

Click the Filters button next to the search bar to narrow down ledger records using specific parameters, such as:

  • Type: Filter records by specific transaction types

    • Card Activation

    • Card Bounceback

    • Scheduled card canceled by user

    • Deposit (i.e., Initial deposit, Manual Top-Ups & Auto Top-Ups)

  • Timeframe: Filter records by specific months and years (e.g., September 2026) or by Custom Date Ranges

Ledger Exports

Click the Export as CSV button in the top right header to download a .csv file containing your full ledger history or your currently filtered search results for offline reporting and accounting. The exported ledger .csv file allows you to complete advanced filtering within your own spreadsheet program.

Exported .CSV files contain the following spreadsheet columns:

  • Date Created: The settlement date of the transaction.

    Note: The card settlement date may not correspond to initiated event date/time stamps (use or expiry date of FavorDrop cards). Settlement dates can vary

  • Type of Transaction (either Card Bounceback or Card Activation)

  • Recipient Name: The user attached to the card

  • Promotion Name: The specific campaign tied to the entry

  • Amount: The transaction value (positive amounts denote credits/grants; negative amounts denote claims/redemptions).


Main Ledger Table

The Main Ledger Table gives you a complete view of all transactions. The table includes:

  • Date Created: The settlement date of the transaction.

    • Note: The card settlement date/time stamp may not correspond to initiated event date/time stamps (use or expiry date of FavorDrop cards). Settlement dates can vary from card event dates (use, expiry, bounceback) based on transaction type and processing time

  • Type of Transaction:

    • Card Bounceback

    • Card Activation

    • Scheduled Card Canceled

    • Deposit

  • Recipient Name: The user attached to the transaction (click to view recipient profile).

  • Promotion Name: The specific campaign tied to the entry (click to open the specific promotion’s settings)

  • Amount: The transaction value (positive amounts denote credits/grants; negative amounts denote claims/redemptions).

  • Action (👁): Click the eye icon on the right edge of any row to open the specific FavorDrop card details.

Transaction Details Modal (Metadata View)

Clicking the eye icon on any transaction row opens a centered pop-up modal providing granular metadata based on the transaction type:

1. Card Events (Card Activation, Bounceback & Scheduled Canceled)

Displays complete card lifecycle information and messaging details:

  • Status Timestamps: Real-time status updates showing exact dates and times for when the card was Pending, Sent, Expired, or Used.

  • Promotion Name: The associated promotional campaign name.

  • Amount Remaining: The remaining unspent balance on the specific card (e.g., $0.00).

  • Message Content: The exact delivery message sent to the recipient containing card details and network instructions (e.g., Discover® Network Prepaid Card details).

  • Follow-up Message Content: The reminder message text configured for card delivery.

2. Deposit Events (Top-Up Metadata View)

Provides complete financial ledger transparency for automated or manual account top-ups:

  • Invoice Number: Unique billing transaction identifier (e.g., N87P9VM9-0017).

  • Status: Processing state (e.g., Processed, Pending).

  • Top-Up Amount: Total net funds added during the run (e.g., $256.17).

  • Available Balance: Account balance prior to top-up execution (e.g., $243.83).

  • Desired Balance: Target trigger balance configured for auto top-up (e.g., $500.00).

  • Top-Up Type: Classification of top-up (e.g., Auto Top-up or Manual Top-up).

  • Top-Up By: Account user name (For Manual top-ups only)

  • Top-Up Date & Time: Exact timestamp when top-up occurred (e.g., July 31, 2026 07:00 PM).

  • Stripe Invoice Link: Direct link to view or download the official Stripe invoice receipt.


Understanding Settlement Date vs. Transaction Date

When reviewing your ledger and your dashboard, you may notice two different dates associated with the same transaction: Settlement Date and Transaction (Event) Date.

Here is why they are different and what each one means:

  • Transaction Date (Date of Event): This is the exact date and time when the FavorDrop card was actually swiped (redeemed) by the recipient, when it expired or when it bounced back.

  • Settlement Date (Date Created in Ledger): This is the date when the transaction officially clears and settles on the banking side. Because banking and card processing systems often take 1 to 3 business days to finalize funds, the settlement date will usually appear a few days after the actual transaction date.

Key Takeaway: If a card is used on Friday (Transaction Date), it may not appear as fully settled in your main ledger until Monday or Tuesday (Settlement Date).
